A freight invoice audit on every line, not a sample
Example: a metro delivery billed as regional costs $29.23 ex GST on one line. Forty lines like it a month is $1,169.20 ex GST, and it looks like an ordinary invoice when it lands.
Nobody has time to re-rate each connote by hand, so the invoice gets paid. The audit does the re-rating for you, as soon as the invoice is imported.
Matching
Every line is matched within the invoice's own carrier. Forensik tries the connote first, then your reference and order number. A line that matches nothing stays unmatched and opens an exception, and you can match it by hand. An invoice number already imported for that carrier is refused.
Variances
Base freight, fuel, each surcharge, carrier adjustments and GST are compared separately against the versions approved and in force on the ship date. Every difference carries a cause and the evidence for it.
- Weight and cubic: billed on a different weight from the one Forensik rated.
- Zone: billed to a different zone from the one your rate card gives for the postcode and suburb.
- Fuel levy: not the approved percentage of the charges it applies to.
- Unexpected surcharge: not on the rate card, or not booked.
- Rate, service and minimum charge: billed off another price list, on another service, or at a minimum your rated weight does not reach.
- Duplicate: the same charge billed twice.
- GST: not 10% of the billed amount. An arithmetic check, raised with accounts rather than claimed.
Tolerances
You set the audit tolerance on the Freight audit page. It starts at $0.00 ex GST, so every difference opens an exception, and a difference below the tolerance you set is still recorded.
Recoveries has its own tolerance for what is worth claiming. It defaults to the greater of $2.00 ex GST or 2% on cost, and the greater of 0.5 kg or 2% on weight.
Worked example, with example numbers
Example numbers: a consignment rated to a metro zone at $62.00 ex GST base, plus a 19.8% fuel levy, is expected at $74.28 ex GST.
The carrier bills a regional zone at $86.40 ex GST base, plus 19.8% fuel: $103.51 ex GST.
Variance: $29.23 ex GST, cause Zone. The fuel percentage is right, so the fuel difference carries the zone cause too.
The default claim tolerance on this line is $2.00 ex GST, so the difference can be claimed.
Questions
- Which invoices can it read?
- CSV and Excel from any carrier, through a column mapping you save once. PDF invoices from Toll IPEC, Hunter Express and Bluestar Global Logistics are read as the carrier sent them.
- Is the audit on every plan?
- Yes. Invoice audit and Recoveries are in every plan, and auditing never stops when you pass your included consignments.
- What if a consignment has no expected cost?
- A matched line is only checked when its consignment has an expected cost. A SKU with no cartons is flagged as cannot price, never guessed, and you can fix it and carry on.
- Does it use AI to find overcharges?
- No. The audit and the claim rules are fixed rules, so you can see why each line was flagged.
