Freight overcharge recovery that stops at the credit note, not the promise

Example: a claim for $121.91 ex GST that the carrier agrees to in an email is still $121.91 ex GST you have not got back. Finding an overcharge is worth nothing until the credit lands.

Claims go quiet. Replies sit in one person's inbox and promised credits never get matched to a credit note. So the money stays with the carrier.

Issue to claim to credit

  1. Issue: each overcharge is listed by carrier invoice as Claimable, or To check with the reason it cannot be claimed yet. You choose Recover or Not an error.
  2. Claim: Forensik drafts the claim email and schedule. You send it from your own email and mark it lodged. Forensik never contacts a carrier for you.
  3. Reply: paste the carrier's reply onto the claim and record the outcome. A lodged claim with no reply is flagged for a follow-up after 10 business days by default.
  4. Credit: import the carrier's credit note the same way as an invoice. Each credit line is linked to the claim line it pays.

Recovered to date means credited

The Recovered to date figure counts credit notes linked to claim lines, and nothing else. A promised credit shows on the claim as promised, and if it has not appeared 30 days later the claim is flagged as Credit not seen.

You keep every credit. Recoveries is in every plan for the flat monthly fee, and Forensik takes no share. It is off until a Master Admin switches it on in Settings.

Only claims you can defend

A difference is claimable only when the carrier billed more than expected, on one consignment's line matched by connote, against a rate card and fuel levy approved and in force on the ship date, with the evidence recorded, above your tolerance. That defaults to the greater of $2.00 ex GST or 2% on cost.

Worked example, with example numbers

Example numbers: a claim with three lines: wrong zone $29.23 ex GST, cubic $18.40 ex GST and a duplicate $74.28 ex GST, $121.91 ex GST in all.

The carrier agrees by email. The claim moves to Credit promised and Recovered to date does not change.

You import a credit note covering the zone and cubic lines. The claim moves to Credited in part and Recovered to date rises by $47.63 ex GST.

The other $74.28 ex GST stays in progress until a credit note covers it.

Questions

Does Forensik email the carrier?
No. Forensik drafts the claim and you send it from your own email, so the carrier relationship stays yours.
Why are some overcharges marked To check?
They failed one of the claim rules, and the reason is on the line. A match by reference rather than connote, for example, helps the audit but is not strong enough to send to a carrier.
What if the carrier keeps rejecting one kind of claim?
If a carrier rejects the same cause on three or more claim lines, the Claims tab suggests reviewing that rule or your tolerance before you claim it again.
