Fuel levy management that keeps up when the percentage moves
Example: a levy moving from 17.6% to 19.8% adds $0.88 ex GST to a $40.00 ex GST base charge. On 2,000 consignments a month, that is $1,760.00 ex GST a month out of your margin if your prices do not follow it.
Levies change often and the notice is easy to miss. A line billed at the wrong percentage looks like any other line on the invoice.
Versioned levies
Fuel levies sit in their own section, separate from rate cards. Each version holds the percentage, the date it starts, and whether it applies to the base charge only or to the base and fuelable surcharges. A levy can cover all of a carrier's services or one service.
Three ways in
- Add a version by hand.
- Import a schedule from the carrier's fuel table as CSV or Excel. Each row becomes a draft version.
- Read a fuel notice from a PDF, an Excel or CSV file, or pasted text. The percentage and date land in a draft for you to check.
Approval
A version goes live only once approved, on its date, and the current levy stays live until then. Every step goes to the change log. Second-person review is on Growth and above; on Starter, Submit publishes in one step. Approving a past date re-works expected fuel since then, and prices already charged do not change.
Audit check
Every invoice line's fuel is compared with the approved percentage in force on the ship date. A difference opens a Fuel levy variance showing the approved and billed percentages. A fuel charge on the invoice total is shared across the invoice's consignments and checked the same way.
Worked example, with example numbers
Example numbers: on a $40.00 ex GST base charge, a 17.6% levy is $7.04 ex GST and a 19.8% levy is $7.92 ex GST.
You approve 19.8% from its effective date. The carrier cost in every price rises by $0.88 ex GST from that date, before markup.
A line shipped after that date is billed at 23%: $9.20 ex GST of fuel against $7.92 ex GST expected. The audit opens a Fuel levy variance of $1.28 ex GST.
Questions
- Can a consignment be priced with no levy?
- No. A consignment cannot be priced until an approved levy is in force for its carrier on the ship date. Forensik flags it rather than guessing.
- Do I have to enter every levy myself?
- You load each levy, by hand, from a schedule or from a notice. Forensik does not fetch carrier levies for you, and each one waits for your approval.
- What if the notice does not say what the levy is charged on?
- The draft uses the base charge only and asks you to check it before you approve.
