Freight invoice CSV, Excel and PDF uploads, no store needed

Example: checking a 600-line invoice by hand at 2 minutes a line takes 20 hours. At $45.00 ex GST an hour, that is $900.00 ex GST for one invoice, so it gets paid unchecked.

Every carrier lays its file out differently, and that is the part that stops a spreadsheet check from ever becoming routine.

Formats accepted

  • Carrier invoices: .csv, .xlsx or .xls up to 10 MB, one row per invoice line, with GST in its own column.
  • PDF invoices: Toll IPEC, Hunter Express and Bluestar Global Logistics, read with no mapping. The lines must add up to the totals printed on the invoice, or nothing is imported.
  • Rate cards: .csv, .xlsx or .xls up to 10 MB and 50,000 rows a file.
  • PDF rate cards: read by the Rate Card Agent on Growth and above.
  • Fuel schedules and fuel notices: .csv, .xlsx or .xls schedules, and notices as PDF, Excel, CSV or pasted text.
  • Orders and consignments: .csv, .xlsx or .xls up to 5 MB and 10,000 rows, with a template to download.

Map the columns once

Tell Forensik which column holds the invoice number, date, connote, reference, each charge and GST. Tick Save this mapping and the next file from that carrier maps itself. New charge codes are mapped once to a standard type, such as base freight or fuel levy, and the carrier's original code is kept.

All or nothing

A file is imported whole or not at all. If any row has a problem, nothing is saved and the rows are listed so you can fix them. An invoice number already imported for that carrier is refused, so the same invoice is never counted twice.

What is not read yet

Carrier files with one row per charge are not supported, so each row must be one invoice line. A PDF invoice from any other carrier needs its CSV or Excel export instead. Workbooks with macros or a password are refused.

Worked example, with example numbers

Example numbers: one row of a carrier's export, connote 2145, with base $62.00 ex GST, fuel $12.28 ex GST and GST of $7.43 ex GST in its own column.

You map those columns once. Forensik stores $74.28 ex GST of charges, with GST of $7.43 ex GST as its own component, against invoice line and carrier.

The line is matched to consignment 2145 and audited straight away against the approved rates on its ship date.

Questions

Do I need Shopify, WooCommerce or Magento?
No. Forensik runs standalone from uploaded rate cards, orders and carrier invoices.
Can I add just one order by hand?
Yes. Orders has a New order button, and you can add a consignment to an order later.
What happens when a line cannot be priced?
If a SKU has no cartons, the order is still imported and the line is marked cannot price. Add the cartons and the line can be priced. Forensik never guesses a carton size.
