Draft and lodge a claim
Mark overcharges to recover, draft a claim for the carrier invoice, check the email and schedule, send it from your own email and mark it lodged.
A claim asks a carrier to credit the overcharges on one of its invoices. Forensik builds it from your decisions and fills every amount from the audit. You send it.
1. Decide each issue
On the Recoveries page, Issues tab, each overcharged line is Claimable or To check. Select the evidence icon on a line to see the facts behind each cause.
- Recover: tick one or more claimable lines and select Recover, or use Recover on a single line. Lines marked To check cannot be marked Recover; the reason is shown under the badge.
- Not an error: choose a reason: Agreed with the carrier, A term of our contract, Our data was wrong, Too small to chase or Other (a note is required for Other). The issue is closed as resolved.
A decision cannot be undone from the Issues tab. If the same charge is marked "Agreed with the carrier" three times or more for a carrier, Forensik suggests updating the rate card or tolerance.
2. Draft the claim
When an invoice has lines marked Recover that are not on a claim yet, select Draft claim on that invoice. Forensik creates a draft with a reference like FK-2026-00042: the year it was drafted and a number unique across Forensik. If the invoice already has a draft, the new lines are added to it.
Only the eligible overcharges on each line are claimed. For each line, the claim shows what was billed, what was due under your rate card, the difference, the cause and the evidence.
A claim cannot be drafted until the carrier has a customer service email. See missing carrier email.
3. Check the email
The claim page shows the Email preview: to the carrier's customer service email, a subject with the invoice number, line count, total and reference, and a body summarising the causes and asking for a credit note quoting your reference.
Every amount comes from the claim's lines and cannot be edited. Under Your wording you can:
- Add one line (optional): a single line of up to 300 characters.
- Change the Sign-off: up to 500 characters. By default it is your name and your organisation's name.
Neither may contain a $ sign, so an amount can never be typed by hand. Select Save wording.
If a capture address is configured, the email is copied to a claims address containing the reference. If not, the preview says there is no CC, and you paste the carrier's replies in yourself.
4. Send it and mark it lodged
- Open in email opens the claim in your own email program, addressed and filled in.
- Copy copies the email text.
- Download schedule (CSV) saves the schedule (one row per connote, with a total). Printable schedule opens a version you can print or save as PDF.
Attach the schedule and send the email yourself. Then select Mark as lodged. Forensik records the date, who lodged it, and the email exactly as it was lodged.
Follow-ups
If the carrier has not replied after your chase days (10 business days by default), the claim shows Follow-up due and a ready-made follow-up email. Send it from your email, then select Mark follow-up sent so the chase clock starts again.
Withdraw a claim
Select Withdraw and say why. A withdrawn claim is final.
Next: carrier replies and credits.
