What can be claimed
The rules Forensik uses to decide whether an overcharge can go on a recovery claim, and what each "not claimable" reason means.
Not every difference the audit finds belongs on a claim. Forensik applies fixed rules, with no AI, so that every claim it drafts is one you can defend. A difference is claimable only when all of these are true, checked in this order. The first one that fails is the reason shown on the Issues tab.
- The carrier billed more than expected, not less.
- The cause is a freight overcharge: wrong zone, higher weight or cubic weight, fuel levy above the agreed rate, billed twice, above the agreed rate card, a minimum charge that should not apply, a surcharge not booked or agreed, or a different service.
- It is on one consignment's line, not on the invoice total.
- The line was matched to its consignment by connote.
- The rate card and fuel levy behind the expected cost were approved and in force on the ship date.
- The rate card can explain the difference.
- The evidence for the cause is recorded.
- A weight or cubic difference is above your weight tolerance, and the amount is above your cost tolerance.
The reasons, in plain words
Undercharge: recorded, not claimed. The carrier billed less than your rate card. It is kept in the audit but never claimed and never shown as an issue.
No consignment matches this line. Forensik cannot say what the line should have cost. Match it by hand first. See unmatched invoice lines.
Not a freight overcharge (for example a GST difference). The difference is real but it is not a freight charge a carrier credits under your rates, such as GST that is not 10% of the line.
A charge on the invoice total, not on one consignment. Charges billed on the whole invoice are shared across its consignments for checking, but a share cannot be claimed against one connote.
Matched by reference or by hand, not by connote. Forensik only claims when the carrier's own connote ties the line to your consignment. A match by reference or by hand is useful for the audit but is not strong enough to send to a carrier.
No approved rate card and fuel levy in force on the ship date. The expected cost has to rest on rates you approved for that date. Approve the right versions, and the issue is checked again. See rate card approval.
The rate card cannot explain the difference. The base freight differs but Forensik could not re-rate the consignment for the ship date, so it cannot show why.
Evidence for the cause is missing. The cause needs facts that were not on the line, for example a billed weight for a weight difference, or the billed and expected zone for a zone difference.
Weight difference within your tolerance. The billed weight is not far enough from your rated weight. By default the weight must differ by more than the greater of 0.5 kg or 2% of the rated weight.
Amount within your tolerance. The amount is too small. By default it must be more than the greater of $2.00 ex GST or 2% of the line's expected cost.
Changing the outcome
Tolerances are set on the Recoveries card in Settings. Changing them checks your undecided issues again. If a line is To check because your own data was wrong, mark it Not an error with that reason. See recoveries overview.
