Recoveries overview

Recoveries turns overcharges the audit finds into claims you send to carriers, then tracks replies and credits. It is off until an admin turns it on.

Recoveries helps you get money back from carriers. Forensik finds the overcharges, checks which ones you can fairly claim, drafts the claim email and schedule, and tracks the carrier's reply and credit. You decide what to claim and you send it from your own email. Forensik never contacts a carrier for you.

Switch it on

Recoveries is off for every organisation until you switch it on. A Master Admin goes to Settings, finds the Recoveries card and selects Switch on. The page reloads and Recoveries appears in the menu. Switching it off hides the section again.

While it is off, the Recoveries page says it is switched off and points you to Settings.

The settings

Once it is on, the Recoveries card shows these settings. Only a Master Admin can change them.

  • Cost tolerance: an overcharge is claimable only when it is above the greater of a dollar amount and a share of the line's expected cost. The default is the greater of $2.00 ex GST or 2%.
  • Weight tolerance: a weight or cubic overcharge is claimable only when the weight difference is above the greater of a weight and a share of the rated weight. The default is the greater of 0.5 kg or 2%.
  • Tell us about new overcharges: For each invoice (the default), Once a day or Once a week. You get an in-app alert on the Issues tab and an email to Master Admins and Editors.
  • Chase a claim with no reply after: the number of business days (Monday to Friday) before a lodged claim is flagged for a follow-up. The default is 10. Public holidays are not counted out.

When you change a tolerance, open issues you have not decided yet are checked again with the new values.

These tolerances are separate from the audit tolerance on the Freight audit page, which decides when an exception opens.

The three tabs

Issues lists overcharges by carrier invoice. Each line shows what was billed, what was due, the claimable amount and the cause in plain words. Lines are either Claimable or To check (with the reason they cannot be claimed as they stand). Tick lines and choose Recover, or Not an error with a reason. Undercharges are recorded but never appear here. See what can be claimed.

Claims lists your claims with their reference, invoice, lines, amount claimed, amount recovered and status. It flags claims with a Follow-up due or a Credit not seen. See draft and lodge a claim.

Recovered shows what has actually come back, by month, and the path from found to credited. Money only counts as recovered when the carrier's credit note is imported. A promise in an email does not count. See carrier replies and credits.

Before your first claim

Forensik needs each carrier's customer service email so the claim email has somewhere to go. If any carrier is missing one, the Issues tab asks for it. See missing carrier email.

Who can do what

Master Admins and Editors can decide issues, draft claims, lodge them and record replies. Users can view everything but change nothing.
