Overcharge alerts

Get an email when the freight audit finds a carrier billing more than your threshold above expected cost. Set the amount and carrier on the Alerts page.

Overcharge alerts email your team when an audit finds an invoice line billed above its expected cost. Set them up on the Alerts page (/alerts).

Create an alert

You need the Master Admin role to create, pause or delete alerts. Everyone who can see settings can see the list.

  1. Select New alert.
  2. Enter an Alert name, for example "Overcharges over $20".
  3. In Email when a line is overcharged by at least ($, ex GST), enter the amount. Leave it empty to be told about any overcharge.
  4. Under Carrier, choose one carrier or leave All carriers.
  5. Select Create alert.

The alert is active straight away. The list shows each alert's carrier, the amount (or Any amount) and whether it is Active or Paused. Use the switch to pause or restart an alert, and the bin to delete it.

When an alert is sent

Alerts are checked after every freight audit: when you import a carrier invoice, and when you select Run audit on the Freight audit page. Forensik looks at the exceptions that audit opened. For each active alert, a line qualifies when it is still open, its carrier fits the alert, and the amount overbilled on it is at least the alert's amount.

Qualifying lines are grouped by invoice, so you get one email per alert and invoice. The email lists each connote with what was billed, what was expected and the amount overcharged, and the total.

A few things to know:

  • Only newly opened exceptions are alerted. A line already in the queue does not trigger the same alert again on a later audit.
  • An exception is only opened when the overbilled amount reaches your audit tolerance, so a line under the tolerance on the Freight audit page is never alerted. See work the exception queue.
  • Unmatched lines are not included, because there is no expected cost to compare them with.
  • If two alerts both match a line, each alert sends its own email.

Who gets the emails

Alert emails go to every active Master Admin and Editor in your organisation. Users with the User role do not receive them. To change who gets them, change people's roles. See users and roles.

Older alert types

If your organisation used Forensik before the freight audit, you may see alerts marked Retired type, not sent. They no longer send anything. Delete them and create an overcharge alert instead.

Alerts and Recoveries

Overcharge alerts are separate from Recoveries notifications. If Recoveries is switched on, you also get a summary of new claimable issues at the frequency set in Settings. See recoveries overview.
