Users and roles

The three roles and what each can do, how to invite people, revoke invitations, change roles, deactivate members and switch organisations.

Everyone in your organisation has one of three roles. You can see your own role, and what it allows, in the Your access card in Settings.

The three roles

Master Admin. Full access, including margin rules, billing, users and settings. Only a Master Admin can open Billing and Users, export the organisation's data or delete the organisation.

Editor. Day-to-day operations: carriers, rate cards, SKUs, orders, invoices, reconciliation and quotes. Editors can connect stores on Integrations and read the audit log. They can see margin rules and settings but cannot change them, and cannot manage billing or users.

User. Read-only. Users can view dashboards, reports and data and run freight quotes, but cannot change anything.

Invite someone

You need to be a Master Admin with a verified email address.

  1. Open Users (/users).
  2. Click Invite user.
  3. Enter their email address and choose a role. Editor is the default.
  4. Send the invitation.

The person gets an email with a link. The link works once and expires after 7 days. If they are new to Forensik, they choose a name and password and accept the terms. If they already have an account, they confirm with their existing password.

Pending invitations are listed on the Users page:

  • Resend sends a new link with a new 7-day expiry. The old link stops working.
  • Revoke withdraws the invitation.

Inviting the same email again also cancels the earlier link, so only the newest one works. If something goes wrong, see Invitation problems.

Change a role

A Master Admin can change anyone's role from the role list next to their name on the Users page. The change takes effect on their next request; they do not need to sign in again.

Deactivate or reactivate

Click Deactivate next to a member to remove their access to this organisation straight away. They are signed out on every device. Their name stays in the history, and nothing they did is removed. Click Reactivate to give access back.

You cannot deactivate yourself.

The last Master Admin

Every organisation must keep at least one active Master Admin. You cannot demote or deactivate the last one. Make someone else a Master Admin first.

User limits on your plan

Your plan sets how many users you can have: Starter 3, Growth 10, and unlimited on Scale and Enterprise. Active members and open invitations both count. When you reach the limit, Invite user is replaced by a note naming the plan you need. Revoking an unused invitation frees a place. See Plans and limits.

If your organisation moves to a plan with fewer users, nobody is removed. The members above the limit keep read access but cannot make changes until you upgrade. Master Admins come first, so you always keep someone who can upgrade.

Belong to more than one organisation

One login can belong to several organisations, each with its own role. When you sign in, Forensik asks which organisation to open. To change, use the Organisation list in the sidebar. It only appears when you belong to more than one organisation.
