Rate card approval blocked

Why approving a rate card can be refused, and what to do: confirm the prices are ex GST, give a reason for a low back-test, or move the effective date.

A rate card can pass every check and still need something from the approver. These are the reasons approval is refused. A refused approval changes nothing.

Confirm the prices are ex GST

The rate card does not say whether its prices include GST. Confirm the amounts are ex GST to approve it.

Cause. The document did not say whether its prices include GST, so the amounts were taken as ex GST. Forensik stores rates ex GST, and a card that really included GST would overstate every expected cost by 10%.

Fix. Check the carrier's document or ask the carrier. If the amounts are ex GST, tick "I have checked that the amounts are ex GST" in the approve dialog and approve. If they include GST, do not approve: choose Reject with a reason, and import corrected ex GST figures as a new draft.

When to contact support. If you ticked the box and approval is still refused, contact support.

Back-test below the threshold

The back-test matched a percentage of the consignments, below 90%. Type the reason for approving anyway (10 to 500 characters).

Cause. Before approval, Forensik re-rates recent invoiced consignments for this service, up to 90 days and 5,000 consignments, on the new rates and compares them with what the carrier billed. Fewer than 90% matched to within one cent. The new card may be wrong, or the carrier may be billing differently from it.

Fix. Open Back-test against invoices in the review. The mismatches are grouped by zone pair and by weight band, with each consignment's difference listed. Look for a pattern, such as one zone pair or a wrong cubic factor, and fix the draft if it is wrong. If the card is right, for example because the carrier has been overcharging, type your reason (at least 10 characters) in the approve dialog. The reason is kept in the history.

When to contact support. If the back-test result looks wrong for consignments you have checked by hand, contact support.

Another version starts the same day

Version number is already approved from the date. Approved versions cannot be replaced on the same date; import the change with a later effective date.

Cause. An approved version of this rate card already takes effect on the same date. Two approved versions cannot start on the same day, so that the rates in force on any day are never in doubt. Fuel levy versions follow the same rule.

Fix. Give the new version a later effective date. On a draft, choose Edit settings and change Rates take effect on, then submit. For a version already waiting for approval, Reject it with a reason and import the change again with the later date.

When to contact support. If the earlier approved version is wrong and must be replaced from the same date, contact support.
